The best dealer management system for Australian used car dealers
The best DMS for a used car dealer in Australia depends on how you get your cars: dealers who sell owned stock are well served by EasyCars, Virtual Yard or CloudLogic, while consignment yards and independents who want true net profit per car are the gap carassessments.com.au was built for. Franchise dealers who need OEM integration should look at a franchise DMS instead, and tools like Nexgate and AutoGrab sit alongside a DMS rather than replacing one.

At a glance
| Option | Best for | Watch out for |
|---|---|---|
| carassessments.com.au | Consignment dealers and independents (1 to 10 rooftops) who buy and consign and want true net profit per car. | Compliance packs are live for QLD only; NSW and VIC are coming. Lender submission, the public API and the service module are on the roadmap, not live. Not built for franchise dealers who need OEM integration. |
| EasyCars | Independent dealers selling owned stock who want an established all-states DMS. | Pricing is not published. Consignment workflows and trust accounting are not described on its website. |
| Virtual Yard | Dealers who want published pricing and one system across new and used stock. | Consignment, trust accounting, reconditioning tracking and profit per car are not mentioned on its website. |
| CloudLogic (Indiqator) | Independents who want DMS, websites, leads and finance from one long-standing vendor. | Pricing is not published, a mobile app is not mentioned (it is described for Mac or PC), and consignment and trust accounting are not mentioned on its website. |
| Nexgate by carsales | Dealers whose priority is carsales reach and sourcing, alongside a DMS. | Per-enquiry fees ($19 to $85) and a $515 establishment fee apply on top. Accounting, compliance paperwork and deal desk are not mentioned on its website, so most dealers would still need a DMS. |
| AutoGrab | Dealers who want market data and fast appraisals on top of the DMS they run. | It is a data and appraisal tool, not a DMS: stock accounting, compliance and deals stay in another system. Pricing is not published. |
| Franchise DMS products (for example Pentana, Titan or TUNE) | Franchise dealers who need OEM integration, parts and service at franchise scale. | Usually more than a small independent or consignment yard needs. Compare them on their own websites; we have not reviewed them here. |
How to choose
Consignment, if you sell cars for other people
Most DMS products are built around stock you own. If you consign, check for an agreement with reserve and commission terms, a way for the consignor to approve price drops, a settlement statement that takes out commission, fees, recon and any financier payout, and a trust or holding ledger per consignor. Ask the vendor to show you a consigned car from intake to payout, not just say it is supported.
Compliance for your state
Every state has its own dealer register (police book or stock book), contract rules and statutory warranty. Ask which states are live today and which are planned, whether the register fills itself from stock movements, and whether the warranty class is calculated from age and kilometres and printed on the contract. Check the rules themselves with your state regulator.
True profit per car, not just gross
Gross is sale price minus purchase price. What you actually keep also loses recon, transport, auction fees, holding cost, floor plan interest, advertising and commission, and gains finance and add-on income. Ask whether the system can show that net figure per car and by source (bought, consigned, trade-in, auction) without a spreadsheet.
Pricing you can see
Some vendors publish prices, others quote. Neither is wrong, but published pricing makes it easier to compare. Count everything: monthly fee, per-car or per-enquiry fees, setup, PPSR and valuation charges, extra sites and extra users.
Lock-in and getting your data out
Ask about contract length, notice period and whether you can export your stock, customers and deals in a usable format at any time. A vendor that will migrate you in for free should also let you leave with your data.
Mobile, for the yard
Appraisals, photos, recon updates and test drives happen outside. Check whether there is a phone app or a mobile web app, what it actually does (photos only, or full appraisals and deals), and whether it works with poor reception.
